Recruiting an Office Assistant – £20,000 pa (Full Time)
Halebury, an award winning alternative legal practice, based near Victoria, and specialising in commercial, employment and corporate law within the TMT, sports and finance sectors, requires an experienced and highly organised Office Assistant to assist the small, central office with a variety of duties.
The position will commence as soon as possible, and applications should be received no later than 29 August 2014.
This position is exceptionally diverse, no two days will ever be the same, and will offer plenty of potential for personal and professional development for the right person.
Job Description:
- Office Assistance:
- Answer telephones
- Set up conference calls
- Book meeting rooms
- Security/visitors
- Take and disseminate notes of office meetings
- Bind documents and deal with general printing
- Post (collection, opening and distribution)
- Banking – bank cheques
- Client/Lawyer Admin:
- Billing – creating invoices
- New client/matter set up
- New lawyer set up
- Train new lawyers/staff on office processes
- Respond appropriately to ad hoc:
- lawyer queries
- billing matters
- credit control issues
- Update and maintain Anti Money Laundering schedule
- Directors:
- Diary management
- Marketing:
- Assist with preparing:
- Lawyer CVs
- Press pack
- Client pitch document
- Set up and organisation of events
- Upload and amend website content
- Organise team meetings
- Organise team social events
- Assist with maintaining the business contacts database
- Assist with preparing:
Excellent knowledge of Word, Excel, Powerpoint and Outlook are required for this position, with a good attention to detail, very strong communication and numeracy skills, and a desire to get fully involved in the smooth running of a business. Previous experience of Legal Enterprise (previously Iris) accounting and document management software would be beneficial.
